Why won't Run Bambi Run assign this trip?

Run Bambi Run looks at hundreds of datapoints and does thousands of calculations for every trip to determine the optimal schedule for your fleet. Because it goes through so many possible options, Run Bambi Run can't tell you why it was unable to assign a trip.

This guide will discuss some of the most common reasons why Run Bambi Run doesn't assign a trip.

Bambi rules

Run Bambi Run follows all of the rules and settings you configure throughout your Bambi account. This includes:

  • Organization settings

  • Payer settings

  • Passenger/driver preference rules

  • Driver skills

  • Vehicle configurations

  • Trip-specific options

Run Bambi Run will never break the rules because it cannot make judgement calls. You, however, can (and should) use your own judgement to make exceptions to the settings and rules as needed!

Incompatible trips

Sometimes there are aspects of a trip that make it incompatible according to your settings and configuration. Common examples include:

  • Vehicle configuration

    • Not enough space

    • Missing the correct type of space (i.e. stretcher, wheelchair)

  • Driver/passenger

    • Driver is missing required skills for this trip or passenger (i.e. bariatric, stretcher, etc.)

    • Passenger prefers not to be put with this driver

  • Trip-specific options

    • Trip requires passenger to ride alone

    • Trip has additional passengers that will not fit in this vehicle

Run Bambi Run will never assign an incompatible trip.

Look for conflicts

Go to the Dispatch page in your Bambi dashboard and try manually dragging the trip from the Unassigned panel and dropping it into a column on the schedule. A conflict message will pop up if there is some aspect of the trip, vehicle, passenger, or driver that is incompatible.

This is where the human override comes in - when manually assigning a trip in this way, you can override the conflict and assign the trip anyway by clicking Assign on the conflict popup message.

Fix the incompatible settings

Based on what conflicts you found when you tried to manually assign the trip, you'll know what settings you may need to adjust to ensure this trip can be assigned. Update the appropriate settings, save your changes, and then try assigning the trip again to be sure your change did the trick.

Now that there are no conflicts, Run Bambi Run should be able to assign the trip.

Multi-loads

There are two versions of the Run Bambi Run automation - one for single-passenger trips, and one for multi-load trips. If Run Bambi Run isn't suggesting multi-loads, the first thing to check is that you are using the multiload version! Click the arrow on the Run Bambi Run button and select [Beta] Run Bambi Run Multiload, then click the button with that label.

Check for the multi-load prompt

Go to the Dispatch page in your Bambi dashboard and try manually dragging the trip from the Unassigned panel and dropping it into a column on the schedule that has another trip at (or within one hour of) the same pickup time.

You should get a prompt asking if you want to multi-load this trip. If you don't get the prompt, there is likely a setting preventing it.

Check the trip options

There is a specific option on each trip to "avoid multi-loading". Edit the trip and look for that setting near the top-right edge; if it is enabled (purple), then this trip cannot be multi-loaded.

Check your Payer settings

The Payer for each trip must also allow multi-loading and be configured to load with other Payers. Here's how to check:

  1. Navigate to the Payers tab.

  2. Locate the payer for the trip.

  3. Click the three dots menu to the right of that Payer.

  4. Select Edit from the menu.

  5. Click Next to get to the second page of Payer settings.

  6. Look for the option to Enable Multi-loading and ensure it is turned on (purple).

  7. Right below that is a drop-down menu labeled Allow multi-loading with. In that dropdown menu, select each of the other Payers who are allowed to multi-load with this Payer's trips, or click the Select All button above the dropdown to select all of your other Payers.

  8. Save your changes.

Now, go back to Dispatch and try to manually create a multi-load with that trip, or Run Bambi Run Multiload. It should combine the trips as expected now that the Payers are allowed to do so.
