How to show price quotes on your Public Trip Request Form

Your website trip request form can now show the requestor an estimated cost before they submit. Price quotes are turned on per embed, use the pricing scheme of the payer assigned to that embed, and are off by default, so nothing changes on your site until you flip the switch. Note: The quote is calculated from the payer attached to the embed. If that payer has no pricing scheme set up under the Pricing tab, the form will not have anything to quote. Set up pricing for the payer first.

Step-by-Step Instructions

  1. Open Settings (the gear icon in the top right of your dashboard) and click the Trip Request Form tab.

  2. Find the embed you want to update in the list and click Edit under the Manage column. To create a new one, click Add a Trip Request Embed.

  3. Confirm the Payer field. This is the payer whose pricing scheme will generate the quote. The helper text reminds you that the payer can be changed on the trip after it is created.

  4. Turn on the Is Price Quote Enabled toggle.

  5. Click Save. The Is Price Quote Enabled column in the embed list will now read Yes for that form.

Nothing else on your website needs to change. The existing embed code picks up the new setting automatically.

What the requestor sees

On Step 4 - Review, above the Submit Trip Request button, the form shows an Estimated Cost line with a Quote only badge and the disclaimer: "Unverified quote, subject to change. Not a bill, guarantee, or approved price." The same estimate repeats on the Trip Request Submitted Successfully confirmation screen next to the confirmation code.

  • For a single trip, the estimate reflects that one leg.

  • For a round trip, the requestor sees one combined estimate. Inside Bambi, the price is split across the two individual trips so each leg carries its own price on the Trips page.

  • Options the requestor picks affect the number. For example, checking Have driver wait at drop-off? on a round trip adds wait time to the quote.

  • If the payer has no active pricing scheme, no quote appears. The form still works and the request still submits normally, it simply shows no Estimated Cost line.

Edge cases

  • No pricing scheme configured. If the payer attached to the embed has no active pricing scheme, the form will not display a quote. The trip request is still submitted successfully, and the trip arrives in Bambi unpriced until someone prices it.

  • Pricing scheme date ranges. The quote uses the pricing scheme active on the requested trip date. If your rates change seasonally, or you update pricing between today and the trip date, the quote reflects the scheme that applies to that specific date, not today's.

  • Manual price overrides. Dispatch can adjust the final price after the trip is created, exactly like any other trip. Editing the price in Bambi does not notify the requestor and does not change what they were originally shown.

  • Changing the payer. If you change the payer on the trip after it comes in, the trip is repriced under the new payer's scheme. The quote the requestor already saw does not update retroactively.

  • Multiple embeds. If you run several embeds (one per facility, one for your public site), each carries its own toggle. Enabling quotes on one does not enable them on the others.

Troubleshooting

  • The quote is not appearing. Confirm the payer assigned to the embed has an active pricing scheme covering the requested trip date, and confirm Is Price Quote Enabled reads Yes for that embed in the list.

  • The quote looks wrong. Check that the pricing scheme includes every fee you expect it to apply: base fee, loaded mileage, wait time, and any additional charges. A quote that is missing a fee usually means the scheme is missing it too.

  • The price in Bambi does not match the quote. The quote is an estimate generated at request time. The trip inside Bambi is priced by your full pricing scheme logic and can be edited by dispatch, so the two can legitimately differ.

Once saved, every request that comes through that embed will show the requestor an estimate, and the priced trip will land on your Trips page ready to schedule.
