How to Choose Which Space Types Appear on Your Trip Request Form

Each trip request embed can now be limited to the space types you actually serve through that form. If you only run wheelchair and ambulatory trips, the requestor never sees stretcher or Broda as an option. By default every embed still offers all space types, so nothing changes on your site until you set it. If you haven't setup your public Trip Request form, start here.

Why this matters

  • Requestors stop submitting trips for services you do not provide.

  • Your dispatch team stops calling people back to correct the space type.

  • The form gets shorter and easier for the requestor, because it only shows options that are real for them.

Note: Space types are set per embed, not account-wide. Each embed you run has its own list.

Step-by-Step Instructions

  1. Open Settings (the gear icon in the top right of your dashboard) and click the Trip Request Form tab.

  2. Find the embed you want to update and click Edit under the Manage column. To create a new one, click Add a Trip Request Embed.

  3. Click the Space Types field. It reads All space types until you change it.

  4. Select one or more space types from the list, for example Wheelchair, Wheelchair XL, and Ambulatory. Each one you pick appears as a chip in the field, and anything you leave out will not be offered.

    • Bambi Best Practice: Only list the space types you can actually staff and price for that requestor. Fewer options means fewer requests you have to call back and correct.

    • Bambi Best Practice: If you are not sure which to include, start with fewer. You can always add more later, and adding one is a two-click change.

  5. Click Save. The Space Types column in the embed list now shows your selection instead of All space types.

Bambi Best Practice: Review your embeds whenever your service offerings change. A vehicle you retire or a service you add should be reflected on every form that offers it.

What the requestor sees

On Step 2 - Service Details, the Space Type dropdown only lists the options you selected. The rest of the form is unchanged: Number of Accompanying Passengers, and the checkboxes for supplying a wheelchair, oxygen during transport, and infectious disease isolation precautions.

Important Notes

  • This is set per embed, not per account. If you run several embeds, for example one on your public website and one for a specific facility, each carries its own space type list. Changing one does not change the others.

  • Use separate embeds to serve different requestors differently. If one facility only sends you wheelchair trips and another only sends stretcher trips, create an embed for each and configure the space types accordingly. Each facility then sees only what applies to them.

  • Existing embeds keep working unchanged. The default is All space types, so every form you already have in the wild continues to offer everything until you go in and narrow it.

  • Removing a space type does not affect trips already submitted. Only new requests are limited to the new list.

  • What happens to trips already submitted before I changed the space types? Existing trips are unaffected. Only new requests submitted after you save will be limited to your selected space types.

  • Can I set different space types for my public website and my facility portals? Yes. Each embed has its own space type configuration, so you can set them independently.

  • What if I leave the field alone? The embed stays on All space types and behaves exactly as it does today.

  • Can I change it later? Yes. Edit the embed, adjust the selection, and click Save. The change takes effect on the next request.

Once saved, every new request through that embed is limited to the space types you chose, so the trip lands on your Trips page with a space type you can actually run.
